1. Using the HDI E-Recruiting System
Thank you for your interest in our company. We look forward to receiving your application.
You can apply on our careers page at the Talanx Group (hereinafter referred to as Talanx), which also includes the HDI Group. In this respect, you make your data available to us for an advertised position, an apprenticeship or a practical training place. Your details will only be reviewed for such a position. You will only be considered for other vacancies if you have enabled this option by ticking the box in your profile data. Alternatively, you can send us a unsolicited application.
If your profile is suitable for a vacancy at Talanx, we will contact you using your contact details. We will treat your information confidentially.
If you are not yet a Talanx employee and we are currently unable to offer you a suitable position, we may add you to our talent pool. In such a case, we will invite you separately by e-mail. If you agree to be added to the talent pool, you may also withdraw your consent at a later date.

b) What data categories do we use in the application process and where do they come from?
The categories of processed personal data include master data and contact details that we request via our online form or which you automatically transfer to our online form via your Xing or LinkedIn profile. In addition, we process the data set out in the application documents that you can upload via our e-recruiting system. We may collect and process further data during the ongoing application process.
The data categories we process include, in particular, your:
- Master data (such as first name, surname, name suffixes, date of birth, nationality and, if applicable, personnel number)
- Contact details (such as home address, mobile/telephone number, e-mail address)
- Data relating to the entire application process (cover letter, certificates, questionnaires, interviews, qualifications and activities to date)
- Application photograph
- Previous convictions, insofar as this is necessary for the advertised position
- Account details in cases of reimbursing travel expenses
Your personal data is generally collected directly from you as part of the recruitment process. In addition, we may have received data from third parties (e.g. employment agencies) to whom you have made your data available for disclosure. We also process personal data that we have lawfully obtained from publicly accessible sources (e.g. professional social networks).
c) Data processing purposes and legal bases
We process your personal data in compliance with the provisions of the EU General Data Protection Regulation (GDPR), the German Federal Data Protection Act (BDSG) and all other relevant laws (e.g. BetrVG (German Works Council Constitution Act) and AGG (German General Equal Treatment Act) etc.).
Data processing is primarily geared towards performing and processing the application procedure and assessing the extent to which a candidate is suitable for a respective position. Processing your applicant data is necessary to decide whether or not to establish an employment relationship. The primary legal basis in this regard is Article 6 (1) letter GDPR in conjunction with Section 26 (1) BDSG. In addition, collective agreements (group, general and works agreements) in accordance with Article 88 (1) GDPR in conjunction with Section 26 (4) BDSG or your separate consent in accordance with Section 26 (2) BDSG in conjunction with Article 4 (11) and Article 7 GDPR may be used as a data protection law permission provision. Where necessary, we also process your data based on Article 6 (1) letter f GDPR to safeguard our legitimate interests or those of third parties (e.g. authorities).
Processing special categories of personal data (e.g. health data) is based on your express consent in accordance with Section 26 (2) and (3) Sentence 2 BDSG in conjunction with Article 4 (11) and Article 7 GDPR, unless legal grounds for permission such as Article 9 (2) letter b GDPR in conjunction with Section 26 (3) Sentence 1 BDSG apply. If you would like to claim special rights for severely disabled persons in the application process, you can state your severe disability in your application letter.
Furthermore, as a result of the European anti-terrorism regulations 2580/2001 and 881/2002, we undertake to match your data against the so-called “EU terror lists” to ensure that no funds or other economic resources are made available for terrorist purposes in the future.
Data is processed for statistical purposes (e.g. studies on applicant behaviour) exclusively for our own purposes and is never personalised, but rather anonymised.
If your data is required after completing the application process for the purpose of legal prosecution or asserting or defending claims, data may be processed in accordance with Article 6 (1) letter f GDPR or Article 9 (2) letter f GDPR.
You will be informed in advance if we want to process your personal data for a purpose not stated above.
d) Recipients of your data
Within Talanx, only those persons and departments (e.g. HR, specialist department, works council, representative body for disabled employees) who require your personal data for the recruitment decision and to fulfil our pre-contractual and contractual obligations and legal obligations will receive it.
When you apply for an apprenticeship or a dual study programme, we will forward your application documents to specialist training experts or specific sales area managers or agency and branch offices where the practical training will be held.
Other recipients of personal data may be processors in accordance with Article 28 GDPR for support/maintenance and servicing, hosting of EDP/IT applications and operating the HDI e-recruiting system.
e) Duration of data storage
We will erase your application-related data five months following completion of the application process, provided that an employment relationship is not established or your application has been withdrawn. This does not apply if statutory provisions prevent erasure or if further storage is necessary for the purposes of furnishing proof. If you are reimbursed for travel expenses as part of the Talanx application process, Talanx must store this statement in accordance with the storage periods specified in the German Commercial Code and the German Tax Code.
If we hire you, we will transfer your application data to your personnel file and your master data to our personnel management and payroll system.
Your candidate profile will be automatically erased 12 months following your last activity.
f) Use of LinkedIn components
Our job mart uses components from the LinkedIn.com network. These components are a service rendered by LinkedIn Ireland Unlimited Company, Wilton Place, Dublin 2, Ireland. Each time you visit our website that is equipped with such a component, this component causes the browser you are using to download a corresponding representation of the component from LinkedIn.
By way of the profile data import function, LinkedIn sends the user’s personal data to our website and stores it there. LinkedIn does not store IP addresses. Furthermore, usage behaviour is not evaluated whatsoever via the use of cookies in conjunction with the “LinkedIn button.” Further information in this respect can be found in the data protection information at: https://de.linkedin.com/legal/privacy-policy?
g) Cookies
The Talanx job mart and HDI e-recruiting system use essential cookies (known as “Session cookies”) that store data for technical session control in your browser’s memory. These are not used to collect usage data and are erased at the latest when you close your browser. In addition, cookies are set to evaluate the website from which the applicants were directed to the application, and whether or not these applicants completed their application here (so-called “Applicant cookies"). These cookies are stored for one week by default and then erased, unless the cookies are erased earlier via the browser settings.
To save the cookie settings, a cookie is set as soon as the cookie banner is clicked. This will prevent the banner from being displayed to this user. The cookie stores the banner status for one year.
Furthermore, we draw attention to the fact that browsers usually have functions for managing cookies.
Each time the website is accessed, the IP address, browser type and accessed page are stored.
h) Rights of data subjects, right to object, option to lodge a complaint
You may request information about the data stored about you at the above address. Furthermore, under certain circumstances, you may request the correction or erasure of your data. You may also have the right to restrict the processing of your data and the right to receive the data, which you have made available, in a structured, commonly used and machine-readable format.
If we process your data to safeguard legitimate interests, you may object to such processing if reasons resulting from your particular situation apply that run counter to the data processing.
You have the option of lodging a complaint with the aforementioned data protection officer or with the data protection supervisory authority responsible for us: the State Data Protection Officer of Lower Saxony, Prinzenstraße 5, D-30159 Hanover.
